Privacy Policy

What we collect about the businesses and professionals we work with, why, who sees it, how long we keep it, and the choices you have.
1. Who we are
RemoteVetted is a trade name of Lemon Qube LLC, 2810 North Church Street, Wilmington, DE 19802, USA. We are the “controller” of the personal information described here. Questions or requests: privacy@remotevetted.com.
This policy covers remotevetted.com, jobs.remotevetted.com, our client and candidate portals, booking pages and emails. It applies to businesses that hire through us, professionals who apply with us, and visitors.
2. What we collect
Professionals (candidates)
- What you give us when you apply: name, email, phone, country, languages, role, availability, rate range, LinkedIn, how you heard about us, your résumé, a voice introduction and (optionally) a video.
- What we add while vetting you: interview notes, reference and background-check results, skills-assessment answers and scores, your profile (headline, experience, English level, tools), and your photo if you upload one.
- Your choices and consents (terms, AI review, sharing your recordings with employers, optional website feature), with when you gave them.
- If you're hired: the client you work with, start date and check-in feedback.
Businesses (clients)
- Contact details of the people we work with (name, title, email, phone or WhatsApp), your business name, industry and location.
- What you tell us about the role, your feedback on finalists, signed agreements, check-in ratings.
- Payment records (amounts, dates, status). Card details are handled by Stripe, not us.
Referral partners
- Your contact details, the businesses you introduce (and the contact details you give us for them), and your commission and payout records.
Everyone
- Booking details (time, time zone, answers you give when booking).
- Technical data needed to run and secure the Services: IP address, browser type, and logs of sign-ins and sensitive actions.
- Emails and messages you send us.
3. How we use it
- To recruit and place: review applications, interview and vet candidates, match them to searches, present them to clients and support the placement.
- To run the service: accounts and sign-in, bookings, agreements and e-signatures, payments, check-ins, the guarantee, referral rewards and partner commissions.
- To communicate: confirmations, reminders and updates about your application, search or placement.
- To keep things safe and lawful: preventing fraud and abuse, securing accounts, keeping records the law requires.
- To show professionals on our website, only if they opted in (see section 5).
We don't sell personal information, and we don't use it for third-party advertising.
Legal bases (for people in the EU/UK, Brazil and similar laws)
We rely on: taking steps you asked for and performing our contracts (applying, searching, placing, paying); our legitimate interests in running a careful, secure recruiting service; your consent for optional things (AI review of your résumé, sharing recordings with employers, the website feature), which you can withdraw; and legal obligations (tax and accounting records).
4. AI and automated decisions
With your consent we use AI models to read your résumé and suggest profile fields, and to help score written skills-assessment answers. A recruiter reviews and confirms these before they count. We do not make hiring decisions about anyone by automated means alone: people at RemoteVetted decide who to present, and clients decide who to hire. You can ask us for a human review of anything an AI suggested about you.
6. International transfers
We are based in the United States and our providers mainly store data there. If you are outside the US (for example in Latin America, Europe or the Philippines), your information is transferred to the US. Where the law requires, we use safeguards such as the European Commission's standard contractual clauses or equivalent protections offered by our providers.
7. How long we keep it
- Candidates not hired: up to 24 months after your last activity with us, so we can consider you for new roles; then deleted or anonymized. You can ask us to delete it sooner.
- Placed professionals and clients: for as long as we work together and the guarantee runs, then as long as needed for legal, tax and dispute purposes (generally up to 7 years for financial and contract records).
- Signed agreements and their audit trail: for the life of the agreement plus 7 years.
- Security logs: as long as needed to protect the service.
8. How we protect it
We use encryption in transit, private storage with short-lived links for files such as résumés and recordings, sign-in with one-time codes, role-based access for our team, logs of sensitive actions (such as viewing contact details or revealing a candidate's identity), and reputable providers. No system is perfectly secure; if a breach affects you, we will tell you and the authorities as the law requires.
9. Your rights and choices
Depending on where you live (including under Brazil's LGPD, the EU and UK GDPR, the Philippines' Data Privacy Act, Mexico's and Colombia's data-protection laws, and US state laws such as California's), you can ask us to:
- see the personal information we hold about you, and get a copy;
- correct it;
- delete it (we may keep what the law requires us to keep);
- restrict or object to some uses;
- withdraw a consent you gave (this doesn't affect what we did before);
- not be subject to decisions made solely by automated means.
Email privacy@remotevetted.com from the address we know you by. We answer within 30 days (sooner where the law requires) and may need to confirm your identity. You can also complain to your local data-protection authority (for example Brazil's ANPD, the Philippines' National Privacy Commission, or your EU authority). Candidates can update their profile and website choice themselves in their portal.
11. Children
The Services are for adults. We don't knowingly collect information from anyone under 18; if we learn we have, we delete it.
12. Changes and contact
We may update this policy; the date above shows the latest version, and we'll tell active clients and candidates about material changes. See also our Terms of Service.
